# Grades and growth

> The grade scale, courses for moving to the next grade and the automatic mark that an employee is ready for promotion

Grades help you link training to career growth. You set a scale, for example Junior → Middle → Senior, and
for each position you specify which courses must be completed to move to the next grade. When an employee
completes all the courses, Exode marks them as ready for promotion and notifies their manager. A person confirms the
promotion itself: a manager or HR.

Grades are in **Company → Organization structure → Grades**.

## How it works

* **The scale is shared across the company.** Grades go from the lowest to the highest. You set the order by dragging rows.
* **A position narrows the scale.** You can choose a position's grades. If you do not, all company grades fit the
  position.
* **The next grade** is the nearest one on the position's scale after the current one. If the employee has no grade yet,
  the first grade of the position's scale counts as the next one.
* **Promotion conditions** are a list of courses for a “position + grade” pair. For example, “Manager → Middle: the
  ‘Negotiations’ and ‘CRM’ courses”.
* **Readiness** means the employee has completed all the courses in the conditions of their next grade.

> [!NOTE]
>
> Readiness is not counted if the employee has no position, if they are already at the highest grade of their scale, or if
> no courses are set for the next grade.

## Turning on grades

Grades are turned off in a company by default. Turn on the **Grades enabled** toggle on the
**Grades** page.

| State | What happens |
| - | - |
| On | Grades are visible in positions, for employees and in filters. Readiness for promotion is counted |
| Off | Grades are hidden in the organization structure but not deleted. Readiness is not counted. You cannot give a grade: “Grades are turned off in the org structure settings” |

You can set up the scale in advance while grades are turned off. Grades appear in positions and for employees after
you turn them on.

## Setup

**1. Create the scale**

On the **Grades** page, click **Add grade**. Enter the **Grade name** (up to 100 characters,
unique in the company) and, if you like, a **Description** of up to 500 characters. A new grade goes to the end of the scale
as the highest one.

**2. Order the grades**

Drag the rows so that grades go from the lowest to the highest.

**3. Link grades to positions**

In the **Positions** section, open a position and choose its **Position grades**. If none are selected, all
grades fit. See [Positions](https://faq.exode.biz/en/corporate/positions.md).

**4. Set the promotion conditions**

In the position's row menu, choose **Promotion conditions**. For each grade, click **Add a course** and
choose the courses to complete. Up to 100 courses per grade.

**5. Give current grades**

Set employees' grades: on the department's **Employees** tab, in the user card or when
adding them to a department.

## Where readiness is shown

In the **Grade** column on the department's **Employees** tab, progress is shown next to the current grade:

| Label | What it means |
| - | - |
| To “Middle”: 2 of 3 courses · 67% | How many courses from the next grade's conditions are already completed |
| Ready for “Middle” | All courses are completed |
| Conditions met on … | The date when the employee met the conditions |
| No courses set for “Middle” | The next grade has no conditions, so there will be no readiness mark |

The **Promotion readiness → Ready for promotion** filter leaves only those who have met the conditions in the list.

## Readiness notification

When an employee meets the conditions of the next grade, the notification goes to:

* the managers of the department where the employee works;
* the company owner.

The employee does not get the notification. It arrives in the app as an “An employee is ready for the grade” window
with the **Open the structure** button, and is duplicated by email. The text says that a manager or HR confirms
the promotion.

## Promotion

Exode does not change the grade on its own. To promote an employee, change their grade:

* on the department's **Employees** tab, with the “Change grade” icon;
* in the user card, in the **Departments and positions** block.

After the grade changes, readiness is counted toward the next step of the scale.

## When readiness is recalculated

* the employee completed a course;
* the employee's grade, position or department was changed, or they were hired or dismissed;
* the promotion conditions for the position were changed;
* the position's grades were changed;
* a grade was added or deleted, or the scale order was changed;
* grades were turned on or off.

Recalculation for the whole company runs in the background and can take several minutes.

## Rules and limits

| Rule | What happens if it is broken |
| - | - |
| The grade name is unique in the company | “A grade with this name already exists” |
| The employee's grade must be one of the position's grades | “This grade does not apply to the position” |
| Conditions can contain only your company's courses | “Course not found in the school” |
| You can delete only a grade that is not given to anyone | “Cannot delete a grade that has employees” |

When a grade is deleted, it is removed from all positions and promotion conditions.

## Frequently asked questions

> **An employee completed all the courses but is not marked as ready. Why?**
>
> Check that the employee has a position, that courses are set for their next grade and that grades
> are turned on. The course must be fully completed. After a course is completed, recalculation can take up to several
> minutes.

> **Does Exode promote employees automatically?**
>
> No. Exode only marks readiness and notifies the manager. A manager or HR changes the grade.

> **What does “No courses set — the move has no conditions” mean?**
>
> This grade has no required courses. You can promote an employee at any time, but there will be no readiness mark
> or notification.

> **What happens to grades if I turn them off?**
>
> Grades are hidden in the organization structure but kept together with assignments and conditions. Readiness is no longer
> counted. After you turn them on, everything comes back.

> **Who gets the readiness notification?**
>
> The managers of the employee's department and the company owner. If no manager is set, only the owner
> gets the notification.

> **What happens to an employee's grade when their position changes?**
>
> The grade is kept if the new position has it. If not, the grade is reset, and readiness is counted
> toward the first grade of the new scale.

> **Can I send grades to Verifix?**
>
> Yes. The Verifix integration has the “Grades ↔ ranks” setting: readiness for a grade creates a
> draft rank change in Verifix. See [Integrations](https://faq.exode.biz/en/corporate/integrations.md).

> **Why can't I delete a grade?**
>
> It is given to at least one employee. Change the grade for these employees and try deleting again.
