# Adding employees

> How to bring employees into a company: creating accounts from a list, adding people to a department, invite links and syncing with an HR system

In a corporate company, every employee belongs to at least one department. So when you add a person,
you specify right away where they start working. After that, the automatic assignment rules run, and
the employee gets the courses of their department and position.

## Ways to add employees

| Method | Where | When it fits |
| - | - | - |
| Creating accounts | **People → All users → Add user** | New employees who do not have an account yet |
| Adding to a department | Department → **Employees → Add employee** | People are already in the company and need to be added to a department |
| Invite link to a department | Department → **Settings → Invite links** | Employees join on their own |
| Sync with Verifix | **Company → Integrations** | HR records are kept in Verifix |
| API | **Company → For developers → API keys** | Data comes from your HR system or 1C |

## Creating accounts

The creation form in a company differs from the one in an online school: the department is required, and course access is set
for each person separately.

**1. Open the form**

Go to **People → All users** and click **Add user**. On the left is the card of the selected
person, on the right is the **Who we are adding** list.

**2. Specify the workplace**

**Department** is required. **Position** and **Grade** are optional. The grade field is visible if grades
are turned on.

**3. Enter the contact and name**

Enter an email or phone number, depending on which login methods are turned on in the company. The **Switch to
phone** or **Switch to email** link changes the contact type. Fill in **Last name and first name**.

**4. Grant course access**

In the **Access** block, choose a course and a group. The **Add access** button adds one more course, up to 50 per
person. This step is optional: courses can be granted by automatic assignment rules.

**5. Add the others**

Add the next people to the list on the right or paste a ready-made list of contacts.

**6. Send the invitations**

Click **Send invitations**. Accounts are created in the background with a progress indicator. New users
receive a login and password to sign in.

### Pasting a list

Copy a column of phone numbers or emails from a spreadsheet and paste it into the form: use the keyboard shortcut anywhere in the
form or the **paste a list** link.

* Each contact becomes a separate person in the list.
* New people get the department and position of the person selected in the list at the moment you paste.
It is convenient to select the department first and then paste the list.
* Contacts that are already in the list and contacts with a turned-off login method are skipped.
* One form holds up to 100 people.

> [!TIP]
>
> The form saves a draft. If you closed the window by accident, the form offers to restore the entered data
> the next time you open it.

### If the person is already in the company

An account with the same phone number or email is not created again. Such a person appears in the result as
**Existing**, but still gets the specified department and course access. New accounts appear
in the result as **Created**.

## Adding existing users to a department

If a person already has an account, open the department, go to the **Employees** tab and click
**Add employee**. Select the people and, if needed, a position and grade. You can add up to 250 people at a time.
Learn more in [Organization structure and departments](https://faq.exode.biz/en/corporate/departments.md).

You can add only a user of your company to a department. A person from another company on Exode
must first be created in yours.

## Invite link to a department

A link lets employees join a department on their own. For example, you can share it in the work chat
of a new shift.

**1. Create a link**

Open the department, the **Settings** tab, the **Invite links** block. Click **Create link**.

**2. Configure the link**

Turn the parameters you need on or off, see the table below.

**3. Send the link to employees**

Copy the link and share it. Anyone who follows the link is added to this department.

| Parameter | What it does | Default |
| - | - | - |
| **Ask for consent before joining** | The employee sees the department card and checks “I agree to join the department”. Without it, a signed-in user joins as soon as they open the link | On |
| **Offer registration to those without an account** | A person without an account can sign up via the link, even if the company is private. Without this setting, only people who already have an account in the company can join via the link | Off |
| **Limit validity period** | After the date in the **Valid until** field, the link stops working | Off, the link is permanent |
| **Join limit** | How many people can join via the link | Unlimited |

How the link works:

* A department can have several active links, for example one for each hiring wave.
* The employee joins without a position. Assign the position and grade later on the **Employees** tab.
* In the **Added** column, such an employee is marked as “Link #N”. The **Source** filter shows everyone who
  came via a specific link.
* Following the link again does not create a second assignment and does not use up the limit.
* A user of another company on Exode cannot join via the link.
* The toggle in the link row turns it off temporarily. **Revoke the link** moves it to the archive. You can bring
the link back from the archive with the **Restore the link** button.

### What the employee sees

The **Invitation to join** page shows the organization, the department, the manager and the number of
employees in the department.

* If the employee is not signed in, they see the **Log in and join** button or, if registration is allowed,
  **Log in or sign up**.
* If consent is turned on, they check the consent box and click **Join** or **Decline**.
* After joining, they see “You have been added to the department” and the **Go to catalog** button.
* If they are already in this department, they see “You are already in this department”.
* If the link is turned off, revoked, expired or has reached its limit, they see “Invitation is not available”.

## What happens after adding

1. The employee appears in the department and in the **All users** list.
2. Within about a minute, the automatic assignment rules are checked. Matching courses are assigned
   automatically. See [Automatic course assignment](https://faq.exode.biz/en/corporate/auto-assignment.md).
3. The employee signs in with the login and password from the invitation and sees the assigned courses in the learning section.

> [!NOTE]
>
> Employees from Verifix do not get a password automatically. When you are ready, open the user's
> card and click **Send password**.

## Frequently asked questions

> **Can I create a user without a department?**
>
> No. In a company, a department is required when you create a user. If you do not know where to add
> the person, use the “Main department” or create a department for newcomers.

> **An employee did not get a login and password. What should I do?**
>
> Open their card and click **Send password**. The password is sent to the user. If they already had a password,
> the current password is sent.

> **Why were some contacts from the pasted list not added?**
>
> Duplicates already added to the form and contacts with a turned-off login method are skipped. For example, if the
> company allows login only by phone, emails from the list are not added.

> **A person followed the link but sees “Invitation is not available”**
>
> The link is turned off, revoked, expired or has reached its limit. Another reason: the person is signed in to an account of another
> company. Check the link in the department settings or create a new one.

> **How do I register people without an account via a link?**
>
> In the link settings, turn on **Offer registration to those without an account**. Then the person can
> sign up right from the invitation page, even if the company is private.

> **Is the link limit used up if the employee is already in the department?**
>
> No. If the same person follows the link again, it does not create a second assignment and does not reduce the limit.

> **When will a new employee get courses?**
>
> If there are automatic assignment rules for their department or position, about a minute after they are
> added. Courses from the **Access** block in the creation form are granted right away.

> **How many employees can I add at a time?**
>
> Up to 100 people in the creation form. Up to 250 existing users on the department page.
> For larger volumes, use Verifix or the API.
