# Positions

> The company's position directory: how to create a position, limit it to departments and link grades

A position is an entry in the company's shared directory: “Sales manager”, “Cashier”, “Engineer”.
An employee in a department can be given one of the positions. Automatic course assignment rules and the grade
scale work by position. The directory is in **Company → Organization structure → Positions**.

## How it works

* A position is shared across the company. Its name is unique: you cannot create two positions with the same name.
* A position can be limited to departments. If no departments are selected, the position is available in the whole
  company.
* If grades are turned on, you can set a list of grades for a position. An employee in this position can be
given only these grades. If the list is empty, any company grade fits.
* You can add an employee to a department without a position: it is not required.

## Creating a position

**1. Open the directory**

Go to **Company → Organization structure → Positions** and click **Add position**.

**2. Enter the name**

**Position name**: up to 100 characters, unique in the company.

**3. Choose grades**

The **Position grades** field is visible if grades are turned on. If none are selected, any grade fits. Readiness for the
next grade is counted along this list, from the lowest to the highest.

**4. Limit it to departments**

In the **Departments** field, choose where this position can be assigned. If none are selected, the position is shared by
the whole company.

**5. Save**

Click **Create**.

> [!TIP]
>
> You can also create a position on the fly. Start typing the name in the position selection field and choose
> **Create “…”**.

## Position list

| Column | What it shows |
| - | - |
| **Name** | The position name |
| **Grades** | The position's grades or “Any”. The column is visible if grades are turned on |
| **Departments** | Where the position is allowed or “All departments” |

At the top there is **Search positions**. The row menu has **Edit**,
**Promotion conditions** (if grades are turned on) and **Delete**.

## Rules and limits

| Rule | What happens if it is broken |
| - | - |
| The name is unique in the company | “A position with this name already exists” |
| A position is assigned only in an allowed department | “The position is not available in this department” |
| The employee's grade must be one of the position's grades | “This grade does not apply to the position” |
| You can delete only a position without active employees | “Cannot delete a position with active employees” |
| A position has up to 100 grades and up to 250 departments | A position with a longer list is not saved |

## Edge cases

* **You limited the departments, but employees already work in others.** Current assignments do not change.
The limit is checked only for a new assignment, transfer or position change.
* **You removed a grade from a position.** Employees who already have this grade keep it. It cannot be given
to new ones. Readiness for the next grade is recalculated.
* **You deleted a position.** Its links to grades, departments and its promotion conditions are deleted with it.
* **You changed an employee's position.** The grade is kept only if the new position has it.

## Frequently asked questions

> **Do I have to set a position for an employee?**
>
> No. You can add an employee to a department with “No position”. But without a position, readiness for the
> next grade is not counted, and automatic assignment rules by position do not run.

> **Why is the position not in the list when I add an employee?**
>
> The position is limited to other departments. Open it and add the department you need or clear the
> **Departments** field.

> **Why can't I delete a position?**
>
> It has active employees. Change their position or remove them from the departments, then delete
> the position.

> **Can I create two positions with the same name for different departments?**
>
> No, the name is unique in the company. Create one position and allow it in the departments you need, or
> make the names more specific, for example “Manager (Tashkent)”.

> **Where do I set courses for moving to the next grade?**
>
> In the position's row menu, choose **Promotion conditions**. The item is visible if grades are turned on. See
> [Grades and growth](https://faq.exode.biz/en/corporate/growth.md).

> **Why can't I edit a position?**
>
> If the position came from Verifix, it is changed in Verifix. Exode shows “This record is managed in an external system
> (Verifix) — change it there”.
