# Roles and permissions in a company

> Who is who in a corporate company: the owner, administrators, department managers and employees. Which permissions open the organization structure sections

A company has the same roles as an online school, adjusted for corporate training. The
**Team** section is called **Administrators**, sales and refund permissions are not available, and the organization
structure has its own permissions. One more role, the **department manager**, is set not by permissions but directly in the
organization structure.

## Who is who

| Role | Who it is | How it is assigned |
| - | - | - |
| **Company owner** | The creator of the company. Has all permissions | Automatically when the company is created |
| **Administrator** | An HR, training or IT employee with access to the management panel | **Company → Administrators** |
| **Department manager** | The head of a department in the organization structure | The **Manager** field in the department settings |
| **Curator** | Checks employees' practice | The “Course curator” permission and linking to groups |
| **Employee** | The person who learns | Being added to a department |
| **Service user** | An account for an API key | **Company → For developers → API keys** |

The general logic of roles is described in [User roles](https://faq.exode.biz/en/general/roles-permissions/user-roles.md),
and working with permissions in [Access rights](https://faq.exode.biz/en/general/roles-permissions/access-rights.md).

## Administrator permissions in a company

You grant permissions in **Company → Administrators**. In corporate mode, the list of permissions is:

| Permission | What it gives |
| - | - |
| Company settings management | Changing the general company settings, access to **Home** and webhooks |
| Company user management | The **All users** list, creating and editing accounts |
| **Staff management** | Changing departments, positions, grades, employees, managers and absences |
| **Staff browsing** | Viewing the organization structure: departments, positions and employees |
| Apps & pages management | The company's app pages |
| Forms management | The company's forms and their responses |
| Integrations management | Connecting integrations, for example Verifix |
| Company management | Company information and details |
| Company employees management | Managing other company administrators |
| Course management / Course browsing | Editing or viewing courses, modules and lessons |
| Course curator | Checking practice and answering questions |
| Course reports view | Lesson completion statistics and lesson ratings in the **Exode AI** assistant (desktop version only). There is no separate reports screen |
| Course comment management | Moderating course reviews: the status and the response to a review, without editing the text or rating. Works together with “Course browsing” |
| Course student management | The **All students** list and learning data |
| Product management | Launches, catalog publication, enrollment methods and invite links on the **Access & assignments** page (the page itself opens with the Course management permission) |
| Browse task database / Task database management | Working with the task database |

The “School sales” and “School refunds” permissions are not shown in a company.

### Which permissions the organization structure needs

| What you need to do | Required permissions |
| - | - |
| Open **Company → Organization structure**, positions, grades, absences | Staff browsing |
| Create or change a department, position, grade or absence | Staff management |
| Add an employee to a department, transfer or dismiss them | Staff management |
| Set up enrollment methods and invite links for a course | Course management (to open **Access & assignments**) **and** Product management (to save the settings) |
| Set up automatic course assignment | Staff browsing **and** one of: Course management, Product management or Company user management |
| Connect Verifix | Integrations management |

> [!NOTE]
>
> With the “Staff browsing” permission, an administrator sees the structure but cannot change it. On the department's
> **Settings** tab, they see a banner saying they have no access.

## Department manager

A manager is a mark in the organization structure, not an access permission. It does not give access to the management panel.

* A department has one main manager. If you assign a new one, the previous one stops being the main manager.
* You can choose any active company employee as the manager, including someone from another department.
* The manager is shown in the structure tree and on the department invite page.
* The manager gets an in-app notification and an email when their employee meets the conditions of the next
  grade. See [Grades and growth](https://faq.exode.biz/en/corporate/growth.md).
* When a person is transferred or changes position, they keep the manager mark. When they are dismissed from this
  department, the mark is removed.

> [!TIP]
>
> If a manager needs to see their employees' progress in the management panel, give them administrator
> permissions, for example “Staff browsing” and “Course student management”.

## Course visibility for administrators

In a company, a new course is hidden from other administrators by default. The setting is in the course:
**Settings → Authors and editors → Visibility for the team**.

| Toggle | On | Off (default in a company) |
| - | - | - |
| **Available to all editors according to their roles** | Everyone with the “Course management” or “Course browsing” permission sees the course | The course is available only to users in the “Editors” list |
| **The practices are reviewed by all school curators** | All curators see the practice | Only the curators of this course's groups see the practice |

The course creator is always added to its editors. The setting does not affect employees' access to training.

## Limitations

* You cannot dismiss the company owner: their last department cannot be removed.
* You cannot remove your own last department. The system replies “Cannot remove your own last
  assignment”.
* Only the owner can change the owner's data. You cannot block the owner.
* Records managed in Verifix cannot be changed in Exode: “This record is managed in an external system (Verifix) —
  change it there”.

## Frequently asked questions

> **How is an administrator different from a department manager?**
>
> An administrator gets permissions for the management panel. A manager is a mark in the structure: they get
> notifications when subordinates are ready for promotion, but without administrator permissions they do not see the management panel.

> **Why can't an administrator see the “Organization structure” section?**
>
> They do not have the “Staff browsing” permission. Without it, the section is hidden from the menu.

> **Why can't an administrator see a course created by a colleague?**
>
> In a company, new courses are available by default only to the editors in the list. Add the administrator to the
> course editors or turn on “Available to all editors according to their roles”.

> **Why didn't the manager get a notification that an employee is ready?**
>
> Check that they are set as the manager of exactly the department where the employee works. The notification
> goes to the managers of this department and the company owner. The employee does not get the notification.

> **Can one person manage several departments?**
>
> Yes. The manager is set in the settings of each department separately, and one person can be set
> in several departments.

> **Does an administrator need to be an employee of a department?**
>
> Not to work with the management panel: permissions are granted separately. But only an employee who has a department
> can become a department manager.

> **What permissions does an API key get in a company?**
>
> A new key gets the basic permissions and the organization structure permissions: “Staff management” and “Staff browsing”.
> The key does not get sales and refund permissions. See [API and sync](https://faq.exode.biz/en/corporate/api.md).
