# Tables and exports

> Table sections with payments, installments, subscriptions, students and users: filters, sorting and export to Excel, CSV and JSON.

The **Home** section shows totals for the school, and the table sections show individual records: every payment, every installment, every student. You can filter and sort the tables, and export the selected records to a file for accounting, a CRM or your own reports.

## Where to find the tables

| Table | Where to open it | Required permission |
| - | - | - |
| Payments | **Control panel → Sales → Payments** | **School sales** |
| Installments | **Control panel → Sales → Installments** | **School sales** |
| Subscriptions | **Control panel → Sales → Subscriptions** | **School sales** |
| All school students | **Control panel → People → All students** | **Course student management** |
| Students of one course | **Courses → select a course → Students** | **Course student management** |
| All users | **Control panel → People → All users** | **School user management** (in a corporate school — **Company user management**) |
| Group members | **Courses → select a course → Groups → select a group** | **Course management** or **Course curator** |
| Practice check | **Control panel → Practice** | **Course curator** or **Course management** (view only, without grading) |

Payments, installments and subscriptions exist only in commercial schools: corporate schools have no **Sales** section.

## Common table features

* **Search** — the search bar in the table header.
* **Filters** — a button in the header opens the filter panel.
* **Sorting** — click a column header to sort by it.
* **Pagination** — the page switcher at the bottom of the table.
* **Link to a selection** — filters and sorting are saved in the page address. Copy the link so a colleague opens the same selection.

### Payments

All invoices for the school's courses (commercial schools only). At the top there is a type switcher: **All**, **One-time**, **Subscriptions**, **Installments**.

Filters: **Payment status**, **Course**, **Acquiring**, **Creation date**, purchase UTM tags and **Total amount**.

| Payment status | What it means |
| - | - |
| **Paid** | The money has arrived |
| **Awaiting payment** | The invoice is issued, the buyer has not paid yet |
| **In progress** | The payment system is processing the payment |
| **Unsuccessful** | The payment failed or was canceled |

The **Creation date** filter selects invoices by their creation date, not by payment date. That is why the total of paid invoices in the table may not match the revenue on Home — learn more in [How metrics are calculated](https://faq.exode.biz/en/general/analytics/detailed-analytics.md).

### Installments and subscriptions

Accesses bought in installments or by subscription (commercial schools only). You can expand a row to see the scheduled payments.

Filters: activity (**All**, **Active**, **Canceled**), **Current payment status**, **Course**, **Tariff**, **Completed payment date**, **Next payment date** and **Payment amount**. Subscriptions also have the **Billing interval** filter.

Learn more about installments in [Installments](https://faq.exode.biz/en/online-schools/sales-payments/installments.md).

### Students

Students' accesses to courses: progress, current lesson, curator, tariff (commercial schools only), enrollment date and access term. The table opens for all school courses, for one course or for one course launch.

Filters: **Participant status** (**In progress** or **Completed**), **Deadlines** (**Overdue only** or **Without overdue**), **Curator**, **Tariff**, **Course**, **Lesson**, **Enrollment date**, **Progress** and **Video** — ranges in percent.

How progress is calculated is explained in [Student progress](https://faq.exode.biz/en/general/analytics/personal-analytics.md).

### Users

All school accounts: contacts, registration date, registration type, number of courses. You can also open the **Deleted school users** list separately — you can export it too. Learn more about the user card in [User card](https://faq.exode.biz/en/general/users/user-card.md).

In a company, the student and user tables also have a department filter — see [Training reports](https://faq.exode.biz/en/corporate/reports.md).

## How to export a table

**1. Set up the selection**

Set the filters and sorting so that the table shows only the records you need. The export follows the current filters and sorting.

**2. Choose the format**

Click the export button in the table header and choose the format: **Export to .xlsx**, **Export to .csv** or **Export to JSON**.

**3. Wait for the file**

The file is built in the background, and the button shows the progress. When the file is ready, it downloads automatically.

> [!NOTE]
>
> The file includes all records that match the filters, not only the current table page. Large selections take longer to build: the platform loads records in batches of 100.

## What goes into the file

| Export | Main columns |
| - | - |
| Payments | User and contacts, payment ID and change date, course, tariff, payment type, payment method, status, amount, currency, UTM tags |
| Installments and subscriptions | User and contacts, dates of the last and next payment, paid and total amount, course, tariff, payment method, status, UTM tags. For installments — the number of completed payments and the percentage paid, for subscriptions — the number of renewals and the renewal period |
| Students | User, course, group, curator, current lesson, progress in percent, number of completed lessons and total lessons, enrollment and access end dates, tariff. With a course filter — also last activity and access status |
| Users | First name, last name, contacts, number of courses, registration date, registration type, created by, date of birth, last sign-in date, registration UTM tags. For deleted users — the deletion date and who deleted them |
| Group members | User, course, access status, group, curator, current lesson, progress, enrollment and completion dates, tariff, added by, last activity |
| Practice check | User, course, lesson, reviewer, status, correct answers and points, percentage of points, attempt number, submission date, deadline and a mark for submission after the deadline |

In the .xlsx format, some exports have extra sheets:

* **Billing Details** — the payment schedule for each installment or subscription: payment number, date, status, amount, charge attempts used, cancellation date;
* **Course Progress** — progress for each course inside a course bundle. The sheet appears in exports of students and group members if the selection contains bundles.

The .csv and JSON formats have no extra sheets.

## Limits

* One staff member can start no more than 60 exports per hour.
* Permissions are checked while the file is being built. If the staff member has no permission for the table data, the export ends with an error.
* If the export could not start, you see the **Error initiating export** message. If the file was not built, you see **Error generating the file** with the point at which the build stopped.

> [!TIP]
>
> You can also run exports automatically through the school API. Learn more in [API](https://faq.exode.biz/en/general/developers/api.md).

## Frequently asked questions

> **Why does the total of paid payments for the month not match the revenue on Home?**
>
> The **Creation date** filter in the table selects invoices by creation date, while Home assigns a payment to its payment date. Also, Home subtracts refunds and counts only one currency. Learn more in [How metrics are calculated](https://faq.exode.biz/en/general/analytics/detailed-analytics.md).

> **Is only what I see on the screen exported?**
>
> No. The export follows the filters and sorting, but collects all matching records, not only the current page.

> **How do I export only paid payments for a month?**
>
> Open **Sales → Payments** (commercial schools only), choose **Paid** in the **Payment status** filter, set the month in the **Creation date** filter and click the export button. Keep in mind that the filter selects invoices by creation date.

> **Why did the export end with an error?**
>
> Most often the staff member has no permission for this table's data: permissions are checked while the file is being built. Check the permissions in **My school → Team** (in a corporate school — **Company → Administrators**) and start the export again. If there have been more than 60 starts in an hour, wait.

> **Where is the payment schedule in the installments export?**
>
> Export installments in the .xlsx format. The payment schedule is on a separate **Billing Details** sheet. The .csv and JSON formats do not have this sheet.

> **Why does the students export have no “Last activity” and “Access status” columns?**
>
> These columns appear only if the table is filtered by course. Choose a course in the **Course** filter or open the students from the course card, and start the export again.

> **Can I export data from the Home page?**
>
> No, the **Home** section has no export. Export the records you need from the table sections.

> **Where do I find the downloaded file?**
>
> The browser downloads the file automatically when the build is complete. Look for it in your downloads folder. While the button shows progress, do not close or reload the tab.
