# Adding users

> How people get into the school: self-registration, buying a course, creation by staff and adding a list. What a new user gets and what the limits are

Everyone who has an account in the school is listed in **People → All users**: students, staff and the owner. An account and access to a course are different things. You can create a user without a single course and grant access later. To learn about access, see [Course access](https://faq.exode.biz/en/general/users/adding-to-course.md).

The section is available to staff with the “School user management” permission (in a corporate school — “Company user management”).

## How a user appears in the school

| Method | How it happens | What the card shows in the “Created by” field |
| - | - | - |
| **Self-registration** | The person signs up on the school website with a method you turned on in **My school → Login and registration** (in a corporate school — **Company → Login and registration**) | “Self-registration” |
| **Purchase without an account** (commercial schools only) | The buyer places an order, and the account is created automatically from their phone or email | “Self-registration” |
| **Creation by staff** | A staff member adds people in the **Add user** form, one at a time or as a list | The staff member's name |

You set up which sign-in and registration methods are available to students separately, in [Login and registration](https://faq.exode.biz/en/general/school-setup/registration-settings.md).

> [!NOTE]
>
> An account created when an order is placed (commercial schools only) gets the “Not activated” status. After a successful payment, the platform sends the buyer a login and password and activates the account. If the buyer signs in to the school earlier on their own, the account is activated too.

## Create users manually

> [!NOTE]
>
> In a corporate school, the creation form is different: the department is required, and access is set for each person separately. Learn more in [Adding employees](https://faq.exode.biz/en/corporate/onboarding.md).

**1. Open the form**

Go to **People → All users** and click **Add user**. The **Creating users** window opens with the hint “Users will receive a login and password to sign in”.

**2. Enter a contact**

Enter a phone number or email. The **Switch to email** / **Switch to phone** toggle is visible only if both sign-in methods are turned on in the school.

**3. Add more people**

Click **Another user** to add a row. One form holds up to 100 users.

**4. Grant access (optional)**

In the **Access** block, click **Add access** and choose a course and a group. You can add up to 50 accesses — every user in the form gets all of them.

**5. Send the invitations**

Click **Send invitations**. The button shows the number of users. Creation runs in the background, and the button shows the progress.

When everything is done, you see a notification with the **Created (N)** and **Existing (N)** buttons. They open the user list filtered by these people.

* **Created** — new accounts.
* **Existing** — the contact was already in the school. No new account is created, and the password is not changed or sent again.

> [!TIP]
>
> The **Grant access if the user already exists** checkbox appears when the form has accesses. It is on by default — both new and existing users get the accesses. Turn it off to grant access only to new users.

If you closed the window without sending the form, the next time you open it you see the **Restore draft?** offer.

## Add users as a list

You cannot upload an Excel or CSV file in the form. Instead, paste a ready list of contacts.

**1. Prepare the list**

Copy the phone numbers and emails, one contact per line. For example, a column from a spreadsheet.

**2. Paste it into the contact field**

Put the cursor in the phone or email field and paste the list. Each line becomes a separate user.

**3. Check the result**

The contact type — phone or email — is detected automatically. Empty lines and duplicates are skipped. Contacts whose sign-in method is turned off in the school are skipped too.

If the list has more lines than the form can hold, the extra ones are not added: one form holds no more than 100 users. Send the first hundred and paste the rest into a new form.

## What a new user gets

After creation, the platform generates a password and sends the login and password:

* **By SMS**, if the user has a phone number and SMS sending is available for the number's country.
* **By email**, if an SMS cannot be sent and the user has an email.
* **In Telegram** — in addition, if Telegram is linked to the account.

If the message could not be sent, the password is still created. You can copy it or send it again in the user card: **Actions → Copy password** or **Send password**. Learn more in [User card](https://faq.exode.biz/en/general/users/user-card.md).

If [webhooks](https://faq.exode.biz/en/general/developers/webhooks.md) are set up in the school, creating a user by staff sends the “User created via LMS” event, and self-registration sends “The user has registered”.

## Limits

| What | Limit |
| - | - |
| Users in one form | Up to 100 |
| Accesses in one form | Up to 50 |
| Email | From 5 to 50 characters, valid format |
| Phone | A valid number, up to 50 characters |
| Duplicate contacts | Phone and email are unique within the school. A duplicate goes to “Existing” |

## User list

Above the list, there are search and filters:

* **Search** works across all fields at once or in one field: **By ID**, **By phone**, **By email**, **By name**, **By @username**, **By Telegram ID**.
* **Tabs** **Active** and **Deleted** separate current and deleted users.
* **Filters**: **Status** (Active, Blocked, Not activated; in a corporate school also Absent — see [Employee absences](https://faq.exode.biz/en/corporate/absences.md)), **Registration date**, **Last online**, **Number of courses**, **Number of purchased courses** (commercial schools only), registration UTM tags. The **Deleted** tab also has **Deletion date** and **Deleted by**.
* **Export** downloads the current list with filters as .xlsx, .csv or JSON.

The **Registration** column shows who created the user. If the person came on their own, it shows the registration UTM tags instead of a name, and “Direct” if there are no tags.

In a corporate school, the list also has the **Department** column, a department filter and the **Dismissed** tab — see [Training reports](https://faq.exode.biz/en/corporate/reports.md).

> [!NOTE]
>
> **Number of purchased courses** counts only courses the student paid for themselves. Accesses granted manually are not included.

## Frequently asked questions

> **Why did a user end up in “Existing” rather than “Created”?**
>
> The school already has an account with this phone number or email. The platform does not create a duplicate and does not change the password. If the **Grant access if the user already exists** checkbox was on, the user got the accesses from the form.

> **A student did not get the password. What should I do?**
>
> Check the contact in the student card. An SMS is sent only if SMS sending is available for the number's country. Send the password again with **Actions → Send password**, or copy it with **Copy password** and give it to the student yourself.

> **Can I import students from Excel?**
>
> There is no file upload. Copy the column with phone numbers or emails from the spreadsheet and paste it into the contact field — each line becomes a separate user.

> **What does the “Not activated” status mean?**
>
> The account was created when an order was placed (in a commercial school), but the payment has not gone through yet and the person has never signed in to the school. After the payment or the first sign-in, the account is activated, and the student gets a login and password.

> **Why is there no “Switch to email” button?**
>
> Only one sign-in method is turned on in the school — by phone or by email. The toggle appears when both are on. You set up sign-in methods in **My school → Login and registration** (in a corporate school — **Company → Login and registration**).

> **Can I create a user without access to a course?**
>
> Yes. Leave the **Access** block empty. You can grant access later in the user card.

> **I made a mistake in the email when creating a user. How do I fix it?**
>
> Open the user card, go to the **Profile** tab, fix the email and click **Save**. Then send the password again with **Actions → Send password**.

> **How do I find out where a student came from?**
>
> Look at the **Registration** column in the list or the **UTM at registration** field in the card. It stores the UTM tags of the link the person used to sign up. Learn more in [UTM tags](https://faq.exode.biz/en/online-schools/marketing/utm-tags.md).

> **Does the tariff limit adding students?**
>
> The “Student base” limit does not prevent you from creating users. It is checked when you choose a tariff (commercial schools only): you cannot switch to a tariff with a limit lower than your current number of students. Learn more in [Subscription and tariffs](https://faq.exode.biz/en/online-schools/getting-started/subscription-plans.md).
