# User card

> What the student card shows and what you can do in it: courses and progress, profile, sessions, payments, password, blocking and deletion

The user card collects everything about one person: their courses and progress, contacts, account sessions and payments (commercial schools only). It opens when you click a user in **People → All users**, in the course and group student tables, and in the **Practice** section.

The full card is available to staff with the “School user management” permission (in a corporate school — “Company user management”). A staff member with the “Course student management” permission sees the student's courses and progress in it, but not the profile, sessions or actions.

## Card header

The header shows the avatar, user ID, phone or email and the time of the last visit. If the user is blocked or deleted, the ID has a “Blocked” or “Deleted” tag next to it.

* **Refresh** — reloads the card data without closing the window.
* **Private message** — opens a private chat with the user.
* **Actions** — the menu of account actions. For a deleted user, the button is inactive.

## Tabs

| Tab | What it shows |
| - | - |
| **Learning** | Courses the user has access to. From here, you open course progress and grant access |
| **Profile** | Name, contacts, Telegram, language, time zone, registration data. In a corporate school, also the employee's departments and positions — see [Organization structure and departments](https://faq.exode.biz/en/corporate/departments.md) |
| **Sessions** | The user's sessions on different devices |
| **Payments** | Goes to the user's payments in **Sales → Payments**. Commercial schools only |

## Learning

The **Learning** tab shows course cards. Each one shows the course name, tariff (in a commercial school), progress and access state:

| State | What it means |
| - | - |
| **Access without restrictions** | No end date is set |
| A countdown | Access is valid until the shown date |
| **Access expired** and a date | The period has ended |
| **No access to the course** | Access is turned off: frozen or the student was removed from all groups of the course |

Cards of courses where access is not valid right now — turned off or expired — are grayed out. A course bundle expands into a list of the courses in it.

The **Grant access** button opens the **Granting access** tab. To learn how to grant access, see [Course access](https://faq.exode.biz/en/general/users/adding-to-course.md).

### Course progress

Click a course card to open the details.

In the **Information** block:

* **Course name** — a link to the course content.
* **Access until** — the access end date and the student's group. If there are several groups, it shows their number, and a list on hover. The group name leads to its settings.
* The **Deactivation (freezing) of access** toggle — turns access off and on. It is inactive if the student is not in any group of the course.
* **Tariff and launch** that access was granted under (in a corporate school — **Launch**).
* **Curator** — the assigned curator. Next to it are the buttons to chat with the student and to change the curator. You can choose a staff member with the “Course curator” permission.

Below is the list of modules and lessons with the current status of each. The current lesson has the “Current” tag, with the time of the latest activity next to it.

What else the lesson list has:

* **Manual lesson status change.** For lessons with content, you can choose a status: “Not started”, “Under revision” or “Completed”.
* **Deadlines.** If deadlines are turned on in the group, the top shows the “Overdue”, “Handed in late” and “Next deadline” counters, and the materials show their deadlines. The **Overdue only** button leaves only overdue materials in the list. Materials closed by a missed deadline have the **Open access** button.
* **Video.** For lessons with video, it shows the watch percentage of each video and the threshold after which the view counts.
* **SCORM.** For SCORM materials, it shows the completion status, score, number of correct answers, duration and attempt number.

To learn about deadlines, see [Group settings](https://faq.exode.biz/en/general/groups/group-settings.md).

## Profile

| Field | Can you change it | Comment |
| - | - | - |
| **Name**, **Last name** | Yes | Required fields |
| **Phone**, **Email** | Yes | Must be unique in the school. They are the sign-in logins |
| **Telegram ID** | Yes | If the user has an @username, it is shown as a link |
| **Date of birth**, **Language**, **Time zone** | No | |
| **Registration date**, **Personal domain** | No | |
| **Created by** | No | The staff member's name or “Self-registration” |
| **UTM at registration** | No | The tags of the link the person used to sign up |

The **Save** button saves the name, last name, phone and email. The Telegram ID is changed separately, with the edit icon next to the field. If the phone, email or Telegram ID is already used by another school user, you see the error “The phone is already in use”, “Email is already taken” or “Telegram ID is already in use”.

For a deleted user, the tab has the **Data before deletion** block: phone, email, Telegram ID and deletion date.

## Sessions

The **Sessions** tab shows the session history: device, location and status.

| Status | What it means |
| - | - |
| **Online** / **Offline** | The session is active |
| **Ended** | The user signed out or the session was ended |
| **Not reset** | The session has ended, but it still counts toward the school's strict device limit |

What you can do:

* **Terminate session** — sign out of the account on one device.
* **Terminate all sessions** — sign out on all devices. The button is visible if there are active sessions.
* **Reset session** — free a slot in the strict device limit.

> [!NOTE]
>
> If the school has the strict device limit turned on, a new sign-in is blocked when the limit is exceeded. In this mode, all of the user's sessions on other devices count, except those reset by an administrator — even ended ones. To let the student sign in from a new device, reset old sessions or terminate all sessions. You set up the limit in [Login and registration](https://faq.exode.biz/en/general/school-setup/registration-settings.md).

## Payments

The **Payments** tab opens **Sales → Payments** filtered by this user. You need the “School sales” permission for this. The tab exists only in a commercial school.

## Actions

| Action | What it does |
| - | - |
| **Copy password** | Copies the user's current password to the clipboard. The platform records every time the password is viewed |
| **Send password** | Sends the password to the user's contact. If there is no password yet, creates a new one |
| **Grant access** | Opens the **Granting access** tab |
| **Block** | After confirmation, ends all sessions and denies sign-in to the school |
| **Activate** | Removes the block. For a blocked user, this item is shown instead of **Block** |
| **Delete** | Deletes the user from the school permanently. You can give a reason |

### Sending the password

After sending, you see a message with the result:

* “Password created and sent” or “Current password sent” — everything went well.
* “Password created, but not sent” or “Failed to send password” — the user has no contacts to send it to. Add a phone or email on the **Profile** tab, or copy the password and give it to the user yourself.

You can send the password to one user no more than once a minute and no more than three times a day. If you exceed this, you see “Too many attempts, try again later”.

### Blocking

A blocked user cannot sign in to the school, and all their sessions end. Course accesses, progress and groups are kept. After unblocking, the user studies as before. You cannot grant new access to a blocked user.

### Deletion

When you delete a user, the “Delete user?” window appears with a field for the reason — up to 255 characters. After confirmation:

* the user is signed out on all devices;
* the phone, email and Telegram are unlinked from the account and saved in the **Data before deletion** block;
* the user moves to the **Deleted** tab in the user list.

A deleted account cannot be restored. The unlinked phone and email are freed: the person can sign up with them again, but it will be a new account without the previous progress.

Deletion limits:

* You cannot delete the school owner.
* You cannot delete a team member, even an inactive one — first remove them in **My school → Team** (in a corporate school — **Company → Administrators**).
* One staff member can delete no more than 30 users an hour.

## Frequently asked questions

> **Why do I see “Password unavailable” when copying the password?**
>
> The user has no password yet — for example, the account was created when an order was placed (in a commercial school) and has not been activated yet. Click **Send password**: the platform creates a password and sends it. Another reason: this is a staff member from the team, and only the school owner can copy their passwords.

> **A student cannot sign in: it says the device limit is exceeded. What should I do?**
>
> The school has the strict device limit turned on. Open the **Sessions** tab in the student card and reset old sessions with **Reset session**, or click **Terminate all sessions**.

> **What is the difference between blocking and deletion?**
>
> Blocking is temporary: the account, accesses and progress are kept, and you can remove the block with **Actions → Activate**. Deletion is permanent: the contacts are unlinked from the account, and it cannot be restored.

> **Can I restore a deleted user?**
>
> No. A deleted account cannot be restored. Its data before deletion is visible in the card on the **Profile** tab. If the person comes back, they sign up again and get a new account.

> **Why can't I delete a user?**
>
> Possible reasons: this is the school owner, the user is a team member, or you have deleted more than 30 users in the last hour. Remove a team member in **My school → Team** (in a corporate school — **Company → Administrators**) first.

> **I changed a student's email. How will they sign in now?**
>
> With the new email — the phone and email serve as logins. The password does not change. If the student does not remember it, click **Actions → Send password**.

> **How do I change a student's curator?**
>
> On the **Learning** tab, click the course, and in the **Curator** field, click the edit icon. Choose a staff member with the “Course curator” permission or remove the curator.

> **How do I mark a lesson as completed manually?**
>
> Open the course on the **Learning** tab, find the lesson and choose the “Completed” status. You can change the status only for lessons with content.

> **Why can't I change the school owner's data?**
>
> Only the owner can change their own data — name, contacts, Telegram. Nobody can block or delete the owner.

> **What does the “Not reset” session status mean?**
>
> The session has already ended, but the school has the strict device limit turned on, and the session still takes a slot in the limit. Click **Reset session** to free a slot for a new sign-in.
