# Subscription and tariffs

> How a school's Exode subscription works: the demo period, tariff limits and features, payment, changing the tariff and what happens when the subscription ends

A school works on a subscription to an Exode tariff. The tariff defines limits (how many students, courses, staff members
and how much storage you have) and features (for example, payment acceptance). You manage the subscription in
**My school → Subscription and tariff**. The section is available to staff with the “School settings management” permission.

The current tariffs, prices and payment periods are shown in this section and on exode.biz. Prices are shown in the school's base
currency.

## How the subscription works

**1. Demo period**

When you create a school, demo access is turned on. You don't need to pay or link a card. The subscription status is
**Demo**, and the date until which access is valid is shown under the tariff name.

**2. Choosing a tariff and paying**

In the **Change tariff** block, choose the payment period and the tariff, then pay for it. The tariff becomes available
right after payment.

**3. Renewal**

If a card is linked to the subscription, the next payment is charged automatically — the date is shown as “Charge …”.
Without a card, you pay for each period via a link — the date is shown as “Manual payment …”.

**4. End**

If you don't renew the subscription, the school has a 3-day grace period after the end date. Then the school website closes
for students until payment.

The subscription status is shown next to the tariff name:

| Status | What it means |
| - | - |
| **Demo** | Free demo access is active |
| **Active** | The tariff is paid, the school works |
| **Canceled** | Auto-renewal is off, access remains until the end of the paid period |
| **Expired** | Access has ended, the school is closed to students |

> [!TIP]
>
> If you subscribe to a tariff before the demo period ends, the remaining demo days are not lost: the paid period starts
> after them. And if you bought a tariff right away, even before creating the school, the demo days are added to the first paid period.

## Tariff limits

Under the subscription status you can see how many resources the school already uses and what the tariff limit is. The “∞” sign
means there is no limit.

| Limit | What is counted |
| - | - |
| **Student base** | All school accounts except deleted ones and service API accounts |
| **Total courses** | All courses and products of the school, including drafts. Archived ones are not counted |
| **Online students / mo** | Users who visited the school in the last 30 days |
| **Storage** | The size of files uploaded to the school |
| **Staff members** | Active team members, including the owner. Service API accounts are not counted |
| **API keys** | Service accounts for access to the school API |

How the limits work:

* **Total courses.** When the limit is reached, you can't create, import or copy a course or restore a course
from the archive — a window for changing the tariff opens. To free up a slot, move a course you don't need to the archive.
* **Staff members.** When the limit is reached, you can't add a new person to the team, including granting access
to a course to someone who is not a staff member yet. You also can't activate a disabled staff member — a window
for changing the tariff opens. You can still grant access to an existing staff member.
* **Student base, Online students / mo, Storage, API keys.** These limits are checked when you choose a
tariff: you can't buy a tariff that is smaller than your current usage. Besides, a school can have no more than
  5 API keys.

> [!NOTE]
>
> A limit never deletes data. If you have already exceeded a limit, everything you created stays in place — only adding
> new items is blocked.

## Tariff features

| Feature | What it gives |
| - | - |
| **Accept payments** | Connecting a payment provider in the **Payment acceptance** section. Without this feature, you can't connect a new provider |
| **AI homework generation** | Generating practice and a lesson summary with AI |
| **Personal manager** | Personal support of the school from Exode |

The tariff or the school's individual terms also define a few features that are not in the comparison table:

* **Gamification.** Gamification sections are visible to students only if it is turned on for the school.
* **The “Powered by exode” label** at the bottom of the website is hidden if this is provided for the school.
* **Knowledge base** is not sold in tariffs. Exode support connects it on request. See
  [Knowledge base](https://faq.exode.biz/en/general/communication/knowledge-base.md).

The Exode team can change individual limits or turn on features for a specific school. Such terms apply on top of the tariff
and are kept when you change it.

## When you hit a limit

If an action exceeds a limit or a feature is not included in the tariff, the platform refuses and opens the
**Upgrade your tariff** window. It says which limit is reached, for example “The «Total courses» limit of the current tariff
is reached: 10 of 10”.

**1. Choose the period**

The switch at the top of the window shows the payment periods and the discount for a longer period.

**2. Choose the tariff**

The list shows your current tariff and higher tariffs. You can only choose one that removes the restriction.
The **What changes** table compares it with the current one.

**3. Go to payment**

Click **Upgrade to …** and pay the extra charge for the rest of the current period.

For the knowledge base, the window is called **Enable the feature**: the **Request activation** button opens a chat
with support.

## How to change the tariff

Tariffs are hidden in the **Change tariff** block (or **Choose a tariff** if the subscription has expired). Under the cards
there is a **Full tariff comparison**.

| Button on the card | What it means |
| - | - |
| **Current tariff** | Your tariff. The price is locked until you change the tariff or cancel the subscription |
| **Upgrade** | A tariff upgrade. The extra charge for the rest of the period is calculated at the next step |
| **Subscribe** | A new subscription if the current one has expired. Access opens right after payment |
| **Below current** | Moving down is not available until the end of the paid period |
| **Unavailable** | The school doesn't fit into this tariff's limits. The text under the button says which limit is exceeded |

### Upgrading the tariff

The new tariff takes effect right after payment. You pay the difference for the days left until the next
payment:

* the platform calculates the daily cost of the new tariff for the same period you have now (the discount for a longer
  period is kept);
* the daily cost you have already paid is subtracted from it;
* the difference is multiplied by the number of remaining days.

The next payment date doesn't change. On that date, the full price of the new tariff is charged.

### Moving to a lower tariff

During a paid period, you can't move to a cheaper tariff. To move:

**1. Cancel the subscription**

In the **Actions** menu next to the tariff, choose **Cancel subscription**.

**2. Wait for the end of the period**

Until that date, the school works on the current tariff.

**3. Subscribe to the new tariff**

When the subscription expires, all tariffs will be available in the **Choose a tariff** block, including cheaper ones.

The new tariff must fit the school. If, for example, you have 12 courses and the tariff limit is 10, the payment will fail
with the message “The tariff does not fit the school”. Move the extra courses to the archive or choose a higher tariff.

## Payment, card and payments history

* The card is shown next to the tariff. The **Link** and **Change** buttons change the card for automatic charges.
Without a card, the subscription is paid via a link.
* The **Payments** list shows the history of subscription payments.
* The school owner sees the card and the payment history. Other staff with access to the section see the tariff
  and limit usage.

### If a charge fails

You will see the warning “The charge failed”. The platform will try three more times: a few hours,
one day and two days after the payment date. To keep access, pay the invoice manually or change
the card. After the fourth failed attempt, the subscription is canceled, and the school closes under the general rules — 3
days after the end date of the paid period.

## Canceling and restoring the subscription

Canceling turns off auto-renewal. There will be no more charges, and the school works until the end of the paid period —
you will see the message “Subscription canceled, access remains until …”.

Until that date, you can bring the subscription back with the **Restore subscription** button next to the card. After that date, you can't
restore the subscription — you need to subscribe to a tariff again.

## When the subscription has ended

1. **For the first 3 days** after the end date, the school works as usual.
2. **Then the school closes.** Students see the “The school website is inactive” screen with the **Contact support** button.
The website, apps and requests to the school API stop working.
3. **Staff with the “School settings management” permission** can sign in to the school. The platform redirects them
to **Subscription and tariff** with the message “The school's subscription is inactive — renew it to restore access to the website”.
4. **After payment**, the school opens again right away.

Courses, students, progress and settings are not deleted.

## Corporate schools

Corporate schools (companies) can't choose a tariff on their own. The tariff and renewal are agreed with an Exode
manager. **Settings → Information and domain** shows the date until which access is active. If you hit a limit,
the window offers **Request a tariff upgrade** — the button opens a chat with support.

## Frequently asked questions

> **How long is the demo period and do I need a card for it?**
>
> You don't need a card. The length of the demo period is set by the Exode demo tariff. The exact end date is shown
> in **Subscription and tariff** as “Demo access till …”. If you bought a tariff right away, without a demo period, the demo days
> are added to the first paid period.

> **What happens if I don't renew the subscription?**
>
> After the end date, the school works for 3 more days. Then the website closes for students. The data is kept,
> and after payment the school opens right away.

> **Will courses and students disappear if the subscription ends?**
>
> No. The platform doesn't delete school data because the subscription has ended. Only access to the website is closed.

> **How much extra will I pay when moving to a more expensive tariff?**
>
> Only the difference in the daily cost of the tariffs for the days left until the next payment. The exact amount
> is shown on the payment page. The next payment date doesn't change.

> **Why can't I move to a cheaper tariff?**
>
> Moving down is only available after the paid period ends. Cancel the subscription, wait for the end
> date and subscribe to the new tariff.

> **Why is a tariff marked “Unavailable”?**
>
> The school already uses more than this tariff allows. The text under the button says which limit is exceeded,
> for example “You have 12 «Total courses», the tariff limit is 10”. Reduce your usage or choose a higher tariff.

> **How do I free up a slot for a new course?**
>
> Move a course you don't need to the archive. Archived courses don't count toward the “Total courses” limit. Drafts do count.

> **Does the owner count toward the “Staff members” limit?**
>
> Yes. All active team members are counted, including the owner. Service API accounts are not counted.

> **Will the demo days be lost if I pay for a tariff earlier?**
>
> No. The paid period starts after the current access ends. For example, if 5 days of the demo period
> are left, you use them first, and then the paid period starts.

> **The charge failed — what should I do?**
>
> Pay the invoice manually or change the card. The platform makes three more charge attempts. If all attempts
> fail, the subscription is canceled, and 3 days after the end date of the period the school closes for students.

> **How do I turn off auto-renewal and can I turn it back on?**
>
> Open **Actions → Cancel subscription**. You can bring the subscription back with the **Restore subscription** button
> until the end of the paid period.

> **Why don't I see the “Subscription and tariff” section?**
>
> The section is available to staff with the “School settings management” permission. Corporate schools don't have this section:
> an Exode manager handles the tariff.
