Every purchase in the school is recorded as an invoice. An invoice shows the buyer, the course and tariff, the amount, the discount and all payment attempts. All of the school’s invoices are collected in Sales → Payments. To work with this section, you need the School sales permission. See Access rights for details.

How an invoice appears

  • One-time purchase. The invoice is created when the buyer clicks the payment button on the checkout page.
  • Installment and subscription. A separate invoice is created for each scheduled payment when its date comes or when the student makes the payment early.
Linking a card when setting up an installment plan or subscription is not a payment, so it is not shown in the payment list. An invoice can be paid several times: each payment attempt is saved in the invoice. The invoice status comes from the most successful attempt. See Payment methods and statuses for more about statuses.

Payment list

Above the list there are tabs: All, One-time, Subscriptions and Installments.

Search and filters

  • Search — by invoice number or code, the buyer’s phone number or email, their name.
  • Payment status — Paid, Awaiting payment, In progress or Unsuccessful.
  • Course.
  • Acquiring — the cash register the payment went through.
  • Creation date and Total amount — ranges.
  • UTM filter — which tags the buyer came to the checkout with. See UTM tags for details.
You can export the list to .xlsx, .csv and JSON with the selected filters applied.

Invoice card

Click a row to open the invoice card. It has tabs.

Information

  • Invoice ID — the invoice number and code. Hovering over the provider icon shows the Payment system ID.
  • Payment status.
  • Invoice creation date and, for paid invoices, Payment date.
  • Discount and Payment amount.
  • Link to invoice payment — you can copy it and send it to the buyer.
  • UTM when purchasing — the tags the buyer came to the checkout with.
  • Invoice details — the course, tariff, final price, discount and promo code. The promo code link opens its settings.

Attempts

All payment attempts for the invoice: the provider, the card number if the provider passed it, the creation or payment date, the amount, the status and the attempt number. Unfinished attempts show the deadline by which they can be paid.

All payments

Opens the payment list filtered by this buyer. The Back button returns you to the user card if you opened the invoice from there. You can send the link from the invoice card to the buyer, for example if they did not finish paying. The link opens the invoice page, where the buyer chooses a payment method and pays.
  • An invoice has no expiration date: the link works as long as the invoice is active.
  • The invoice amount is fixed when it is created. If you changed the tariff price, the old link still has the old amount.
  • An installment or subscription invoice can be paid only while the installment plan or subscription is active. If it was canceled, the buyer sees Invoice cannot be paid and a hint to resume the installment plan or subscription first.
  • When a student sets up an installment plan or subscription for the course again, the unpaid invoices of the previous schedule are canceled.
You can’t create an invoice manually in Payments. To ask a student to pay, send them the tariff payment link: you can copy it with the Copy payment link button in the course tariff settings.

Notifications about new payments

When an invoice is paid, staff with the School sales permission receive the New payment for products notification with the course and tariff names, as well as an email.

Refunds

Refunds are not processed in the school interface. To return money to a buyer, contact Exode support — a hint in the invoice card reminds you of this too. When the refund is complete, Exode revokes the access granted by this invoice: it removes the buyer from the tariff’s group and returns access to its state before the purchase. The buyer and school staff each receive a Refund completed notification.

Frequently asked questions

Exode has not yet received confirmation from the provider. Open the invoice and look at the Attempts tab. If the payment went through on the provider’s side, check that the notification link from the cash register settings is set in the provider’s account. See Payment acceptance for details.
The buyer started paying several times: for example, they first chose one provider, then another, or clicked Retry after the bank declined. All attempts are saved in the invoice, and unfinished ones are canceled when a new one starts.
Most likely, the student paid with a different invoice — for example, they went back to the tariff page and made the purchase again. Find all of the student’s payments with the All payments button in the invoice card.
Contact Exode support. Once the refund is complete, the student’s access granted by this invoice closes automatically, and the student receives a notification.
Card linking is not a payment. The list shows only payments: one-time purchases and scheduled installment and subscription payments.
The cash register has a provider commission set: it is added to the invoice amount at payment. In Payments, the amount is shown without this commission.
Open the invoice: the UTM when purchasing block shows the tags the buyer came to the checkout with. You can also filter the list by these tags.
