The Company → Organization structure → Absences section helps HR see which employees are on vacation, on sick leave or on a business trip right now. An absence is an informational mark. It does not block anything: the employee can still sign in and learn.

How it works

  • An absence is linked to the employee’s assignment: their department and position. If a person belongs to several departments, choose the assignment you need.
  • The end date is optional. Without it, the absence lasts indefinitely until you change or delete it.
  • An absence counts as current if today’s date falls within its period.
  • An absence of a dismissed employee does not give them access back: a dismissed employee stays dismissed.

Absence types

The type is used for reporting and as a label in the list. It does not affect how the absence works.

Adding an absence

1

Open the section

Go to Company → Organization structure → Absences and click Add absence.
2

Choose the employee

Start typing the name in the Employee field and choose the assignment.
3

Set the type and period

Choose the Absence type, the Start date and, if needed, the End date. The end date cannot be earlier than the start date.
4

Add a note

The Note field is optional, up to 500 characters.
5

Save

Click Create. The absence appears in the list.

Absence list

The All / Current switch leaves only ongoing absences in the list. To change an absence, click its row. To delete it, choose Delete in the row menu.

Label in the user list

An employee with a current absence has a grey “Absent” label in the People → All users list. Their status doesn’t change: in the Status filter they are included in “Active”, and to find only absent employees, select “Absent” in the same filter. Sign-in stays open for such an employee. Permissions: you can view absences with the “Staff browsing” permission, and create, change and delete them with the “Staff management” permission. See Roles and permissions.
